Corporate records help you check registered company details, retrieve filed documents and confirm registry status. The document you need depends on your purpose and the corporation’s jurisdiction.
Choose a profile report for company information, copies for incorporation records, or a status certificate for registry confirmation. An Ontario Company Key serves a different purpose: access to manage an entity’s registry profile.

CORPORATE REPORTS & DOCUMENTS GUIDE
Understand what each corporate record service provides and how to match it to a registry, banking or business requirement.
An Ontario Company Key is a confidential nine-digit code used to link a business to an Ontario Business Registry profile. It is different from the public corporation number that identifies the corporation.
Request a key only for a business you are authorized to manage. Keep it secure and share it only with authorized people who need registry access.
Request Company Key support ↗A corporation profile report provides registered company information. Depending on the registry, it may show the legal name, number, status, registered office and director information. It reflects the information filed with that registry.
A Certificate of Status is a separate registry-issued document confirming the corporation’s recorded status. Ask the recipient which document and issue date they require.
Explore profile reports ↗The incorporation certificate records the creation of the corporation. Its articles set out foundational provisions, such as the share structure. Later amendments may change those provisions, so the original articles alone may not tell the full story.
Specify which certificate and articles you need, including relevant amendments where required. Confirm whether the recipient needs certified copies or accepts ordinary copies.
Request certificate and articles ↗A status certificate confirms the registry information stated on that document as of its issue date. It is not a credit report, tax clearance certificate or guarantee that the corporation can meet its financial obligations.
Document names vary by jurisdiction. Federal corporations use Certificates of Compliance or Existence for different purposes; confirm the correct certificate before ordering.

An Ontario Company Key is a confidential nine-digit code unique to a business or entity in the Ontario Business Registry. It is used to link the entity to a registry profile for management and filings. It is not the same as an Ontario Corporation Number or a CRA business number.
A Company Key request should be made by someone authorized to act for the business. The registry’s verification and delivery procedures apply. Keep the key confidential and share it only with authorized representatives who need access; it is not a public search report.
The report contains information recorded by the relevant registry. Depending on the jurisdiction and entity, this may include the legal name, corporation number, status, registered office and directors or officers. The report’s contents are based on filed information and do not guarantee that every change has been reported.
Not necessarily. A profile report does not provide a complete shareholder register, and public ownership information varies by jurisdiction. Do not assume that a director is also an owner. Shareholder records and any available beneficial ownership information serve different purposes.
A certificate of incorporation records that the corporation was created under the applicable law. The articles contain foundational provisions, such as the corporate name and share structure. Later articles of amendment may change those provisions, so confirm which documents your recipient needs.
You can request copies of available documents held by the relevant registry. Provide the corporation’s legal name or number, jurisdiction and document details. Availability, format and retrieval time may vary, particularly for older records or documents not available online.
That depends on the recipient and purpose. Some transactions require certified copies, while others accept ordinary copies. Ask your bank, adviser or other recipient before ordering, and confirm the required document, certification and any issue-date requirements.
It confirms the corporation’s status as stated by the issuing registry at the time of issue. Its scope depends on the jurisdiction. It does not establish creditworthiness, confirm that all taxes are paid or guarantee compliance with every law or contractual obligation.
Do not assume the documents are interchangeable. Federal corporations may need a Certificate of Compliance or Existence, while provincial registries use their own certificate types. A corporation’s provincial registration and federal incorporation are separate records. Confirm the jurisdiction and document required.
Fees and processing times depend on the registry, record type, certification and availability. Check the selected service for current options before ordering. Older records, incomplete company details or registry verification requirements may affect completion time.
